Ways to Effectively Compact and Repair an Access MDB File

Amongst the many useful features of Microsoft Access, one of the most unique ones is the ability of the MDB file to consistently increase in size as the amount of data stored in it increases without facing too much of a problem, at least up to a certain size. The database file may thus grow to be fairly large unless and until you take steps to reduce the size by actually compacting the file. It is interesting to note that you will not be able to reduce the size of the file by merely deleting a few unwanted records. Microsoft Access continues to hold the space that had been used by the deleted records in reserve and does not release it for reuse. Similarly, if you try to create extra space by merely shortening or modifying records, this space is also not released for reuse. An MDB file that grows very large carries a greater risk of getting damaged and you may have to use Access repair tools to recover mdb data that might have been lost.

Let us look a little carefully at what happens if you never compact an MDB file. The Access database will continue to retain all the empty space created by deleted records and moreover, will take up additional space in order to accommodate any new data that you may be adding to the file. Even if you delete all the records from a 1 MB MDB file and then add new data of 2 MB, the MDB file will have a size of more than 3 MB. In other words, the 1 MB that had been allotted to the MDB file continues to be held in reserve. Not only that, this empty space ends up fragmenting any new data that is being added to the file; this could end up corrupting the file and making it difficult to recover mdb data.

It is therefore highly advisable to regularly compact the Access database so that first, all the empty space is made use of efficiently and second, if any errors have crept into the MDB file due to the size of the file or fragmentation of data, the tool will repair the database. Microsoft Access makes this task easy for you by providing a handy Compact and Repair utility.

You can access this tool from the main Tools menu and then going to Database Utilities. From here you can select Compact and Repair Database. The Compact utility works by actually creating a duplicate of your existing database but without the extra empty space. This is the only way you can reduce the physical size of the MDB file. Sometimes, the compact process does result in a few errors in the database file but the Repair utility should be able to fix any low level corruption and recover mdb data successfully.

However, an Access user should be aware that the Compact and Repair utility while a powerful tool still has limitations and in order to ensure that there is no data loss due to corruption of the MDB file, one should keep an MDB repair tool handy. For example, Advanced Access Repair from DataNumen can recover mdb data from seriously damaged files using a sophisticated algorithm that helps in restoring not just the records but also the original structure of the database.
